Copy & Mail Services

Simmons provides copy, digital printing, mail and shipping services to our faculty, staff and students.

Copy and mail professionals are available to consult with you and provide solutions that meet your specifications and budgetary requirements.

Mail Services

Business mail

The Copy & Mail Center is responsible for all incoming/outgoing business and interdepartmental mail. Incoming mail is delivered to offices Monday – Friday between 11:00 a.m. and 3:30 p.m. You can also drop off and pick up mail at the service window in the Copy & Mail Center during regular business hours.

As a reminder – all incoming Main Campus Mail, including mail for residents of the Library, the Science Center, School of Management and One Palace Road, should be addressed to 300 The Fenway, Boston, MA 02115 in order to ensure timely delivery from the United States Postal Service. Please use the following format:

  • Postal Service – 4:30pm (all mail should be in the Center no later than 4:00pm)

Bulk Mail

If you should have upcoming large mailings, please contact the Copy & Mail Center, which can provide assistance with mail design and logistics.

Confidential Mail

  • Interoffice mail — Use a sealed envelope or package material with a seal, and clearly mark the envelope/package as “Confidential”. The intended recipient’s name and office address should also be clearly marked. It is also recommended that the sender’s name and return address be clearly marked on the envelope/package.
  • Unsealed mail — It is recommended that confidential mail be sealed whenever possible before sending it to the Copy and Mail Center to be metered and sent to the Post Office. If you are sending out a large mailing of confidential materials and would prefer to have the Copy and Mail center staff seal the envelopes as they are being metered, it is recommended that you place the mailing in a sealed container (e.g., a paper box sealed with tape) before passing it to the Copy and Mail center staff for delivery to the center. If required, you can coordinate a time to process the mailing of the confidential items with the Copy and Mail center manager, and a representative from your department could be present while the mailing was being sealed and postmarked.

Personal Mail

The Copy & Mail Center offers retail postage service through the US Postal Service for all of your personal mailing needs. The following services are available:

  • Certified Mail and Return Receipt
  • Delivery Confirmation

Stamped mail may also be left in the mail slot outside the Copy & Mail Center. Payment can be made by cash, check, Fenway Card, Visa, MasterCard and American Express.


Receiving Packages on the Main Campus

Shipping & Receiving will notify departments when packages have arrived. Packages 20 lbs and under should be picked up in A-014 during normal business hours. Packages over 20 lbs will be delivered within 3 business days. Hours of operation are Monday – Friday from 9:00am – 3:00pm. Please call ext. 2428 for more information.

Please call 1-800-GO-FEDEX or go online to to schedule an individual pickup when making your label and be aware that additional charges may apply.

The Shipping & Receiving Department, located in A-014 of the Main College Building, offers UPS services. Please contact Shipping & Receiving for additional information at ext. 2428.

Copy and Print Services

Business Services

The Copy & Mail Center can now take your orders through the web:

The customized web based Simmons University site:

  • Allows clients to submit copy/print jobs electronically or with hard copy
  • Files are converted to pdf and previewed by the client instantaneously
  • Ticketing properties include quantity, substrate, finishing, price and due date
  • Email notifications for receipt and completion of jobs are auto dispatched to the end user

In addition to 24/7 ordering convenience, there are several benefits to the end users, including archiving cyclical/repeat orders, clear service descriptions, budget information, etc.
The best/preferred method for submitting your copy and print requests is through the on-line web site. You can also submit your order using a Copy & Mail Center requisition if you prefer. Each copy job request should include your Name, Extension, Department Name, 15-digit Budget Number and most importantly, the specific time and date needed (please avoid using ASAP). This helps us to ensure that your job is completed on time and to your specifications. Attach your original/s with a paper clip or rubber band, and make sure all paper, copying, and finishing instructions are complete.

Retail copy services are available at the Copy & Mail Center to faculty, staff and students. Payment can be made by cash, check, Fenway Card, Visa, MasterCard and American Express.

If your office does not have a fax machine, you can use the University’s general fax machine to send or receive faxes, which is located in the Copy & Mail Center. Simply fill out a cover sheet (complete with department budget code if applicable) and attach it to the item you want sent. The fax number is 617-521-3199.

Retail pricing

  • Outgoing or Incoming Fax: $1.00 plus tax per page
  • Payment can be made by cash, check, Fenway Card, Visa, MasterCard and American Express

Administrative pricing (charged to your department budget code)

  • Outgoing Fax: $1.00 for first page, $ .25 for each additional page
  • Incoming Fax: $ .25 per page
Stationery and Business Cards

The Simmons Copy and Mail Center offers personalized letterhead and envelopes, as well as business cards.

We encourage departments to use generic Simmons University letterhead and envelopes for formal correspondence wherever possible. Many departments can use generic stationery by incorporating contact information or other personalized information in the letter.

However, we know that by the nature of business conducted in some departments, it will be necessary to use personalized stationery. Since there are institutional costs associated with stationery orders, additional approvals may be needed.

The products hosted on the site include letterhead, envelopes, mail labels and business cards. All orders will be reviewed for accuracy and approved by the Purchasing Department.
